Alma is a private members' community based in London. This policy explains how we collect, use, and protect your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

When you submit a membership application, we collect:
When you submit a nomination, we collect your name and email, along with the nominee's name, email, gender, university, a description of why you are nominating them, and any photographs you upload.
When you become a member, we also process payment information through our payment provider Stripe. We do not store your card details directly.
We process your personal data for the purpose of assessing membership applications, managing our members' community, and processing membership subscription payments. Our lawful basis for processing is consent, which you provide by ticking the consent checkbox on our application or nomination form. Payment processing is necessary for the performance of our membership contract.
Your data is stored securely using Google Firebase (Firestore for text data and Firebase Storage for photographs). Firebase servers are operated by Google and data may be stored in the United States. Google operates under appropriate safeguards for international data transfers, including Standard Contractual Clauses. Payment data is processed and stored by Stripe in accordance with PCI DSS standards.
If your application is successful, we retain your data for the duration of your membership and for up to 12 months after cancellation. If your application is unsuccessful, we retain your data for up to 6 months following our decision, after which it is permanently deleted. Nomination data is retained for the same periods.
We do not sell, rent, or share your personal data with any third parties for marketing purposes. Your data is accessible only to the Alma membership committee for the purpose of assessing applications. Our data is hosted on Google Firebase infrastructure. Payment processing is handled by Stripe.
